We respect your privacy and are committed to handling personal information responsibly and in line with applicable law, including the Nigeria Data Protection Act 2023 and related regulations.

3. Who this Policy applies to
This Policy applies to:
- Venue users — owners, managers, and staff who register for an EasiDine account to run a venue (restaurant, bar, hotel, lounge, or similar business).
- Guests — customers who scan a table code at a venue to browse the menu, place orders, pay, or leave a review, usually without creating an account with us.
- Customer account holders — diners who optionally sign in with Google to access a cross-venue profile, order history, payment history, and transactional emails.
- Visitors — anyone who visits our marketing website or contacts us for support or sales.
4. Our role regarding guest information at venues
When a guest orders at a venue using EasiDine, the venue decides what appears on the menu, fulfils orders, and handles the guest relationship. We provide the ordering and payment technology and process data needed to run that visit.
For much of the guest order and review data, the venue acts as the data controller for its customer relationship, and we act as a data processor processing that information on the venue's instructions to deliver the Services. Venues should have their own privacy notices for their customers.
For our own purposes (platform security, payment processing with our partner, improving EasiDine, and complying with law), we also process certain guest data as a controller.
5. Information we collect
We collect only what we need to provide the Services. The type of information depends on how you use EasiDine.
5.1 Venue users (account holders)
When you register or manage a venue account, we may collect:
- Identity and contact details — such as your full name and email address.
- Account credentials — such as your password (we store this in a secure, encrypted form and never in plain text).
- Business details — such as your venue name, type of business, address (including location details you select when setting up your venue), phone number if you provide it, and currency settings.
- Staff and team information — such as email addresses and roles of people you invite to your venue account.
- Bank and payout details — when you connect your venue to receive payments, bank account information is collected and verified through our payment partner; we do not store your full card details.
- Security and verification — such as one-time codes sent to your email for login, email verification, password reset, or confirmation of sensitive account changes.
- Communications — messages you send to us for support or sales.
5.2 Guests (table ordering)
Guests typically do not register for an EasiDine account. When you scan a venue's table code, we may collect session information (so we can link your visit to the correct table and venue for the duration of your visit; sessions expire after up to 24 hours from when the session starts), order information, payment information (transaction amounts, currency, payment status, and references from our payment partner; card and bank payment details are entered on our payment partner's secure checkout page and we do not receive or store your full card number or security code), reviews if you choose to leave one, and technical information such as device type, browser, and internet protocol address, which we may use to protect the Services against misuse.
We do not require guests to provide an email address or phone number to place an order unless a specific feature or the venue asks for it separately.
5.3 Customer accounts (Google Sign-In)
If you create a Customer account, we collect information from Google when you sign in (such as your Google account identifier, email address, display name, and profile photo URL where provided), account metadata (such as when you accepted our Terms and when you last signed in), and linked activity (orders, payments, and table visits associated with your account when you are signed in).
We use this information to operate your profile, show your history across participating venues, link activity during signed-in visits, improve the Services, and send transactional emails such as order notifications and payment receipts to your Google email address. We do not use these emails for marketing in the current version of the Services.
Reviews you submit while signed in remain anonymous to venues by default unless you choose to provide a display name. We do not attach your Customer account identity to venue-visible review records.
5.4 Physical QR code orders (venues)
If a venue orders printed table codes from us, we may collect delivery details (name, address, contact email and phone), order quantity, and payment status.
5.5 Website visitors
If you visit our marketing site or email us, we may collect your name, email address, message content, and basic technical information about your visit.
6. How we use your information
We use personal information to provide, operate, and improve the Services; create and manage venue accounts; process payments and facilitate settlement to venues; send service-related emails; notify our operations team about paid orders for printed QR materials where applicable; show venues aggregated analytics; prevent fraud and abuse; comply with legal obligations; and communicate with you about the Services or important changes.
We do not sell your personal information to third parties.
7. Legal bases for processing
Where Nigerian data protection law requires a legal basis, we rely on contract (processing needed to provide the Services), legitimate interests (such as securing our platform and preventing fraud, where those interests are not overridden by your rights), legal obligation, and consent where you have given clear consent.
8. Who we share information with
We share personal information only as needed with our payment partner (to process guest payments and settle funds to venues), address and location service providers when venues confirm addresses, email delivery providers, cloud hosting and storage providers, professional advisers, and authorities if required by law.
We require service providers that handle personal information on our behalf to protect it appropriately and use it only for the purposes we specify.
9. Cookies and similar technologies
Venue staff: we use essential cookies to keep you signed in securely when you use the staff application. These are necessary for the Services to work.
Guests: guest ordering may use storage on your device to remember your table session during your visit. This is not used for advertising.
Marketing website: our public website may use essential cookies for basic operation. If we introduce analytics or marketing cookies in future, we will update this Policy and, where required, ask for your consent.
You can control cookies through your browser settings, but disabling essential cookies may prevent parts of the Services from working.
10. How long we keep information
We keep personal information only as long as needed for the purposes described in this Policy, including while your venue account is active, for orders and payments for periods required for accounting and tax, for guest sessions and related records, until security codes expire or are used, and for reviews while displayed or needed for the venue's operations.
When information is no longer needed, we delete or anonymise it where possible.
11. Security
We use appropriate technical and organisational measures to protect personal information, including secure connections, access controls, and encryption of sensitive credentials. No method of transmission or storage is completely secure; we cannot guarantee absolute security.
You are responsible for keeping your account password confidential and for activity under your account.
12. Your rights
Under Nigerian data protection law, you may have rights including access, correction, deletion, restriction or objection to certain processing, and data portability where applicable. To exercise your rights, email support@easydine.app. We may need to verify your identity. If you are a guest without an account, please include details that help us find your data (such as venue name, approximate date of visit, and order reference if you have one).
You may also lodge a complaint with the Nigeria Data Protection Commission if you believe your rights have been violated. We will respond within the timeframes required by law.
13. Children
The Services are intended for use by venues and the general public in a dining setting. We do not knowingly collect personal information from children under 18 without appropriate consent. If you believe we have collected such information, contact us and we will take appropriate steps to delete it.
14. International transfers
Your information may be processed in Nigeria and, where we use service providers in other countries, in those locations. Where required, we take steps to ensure appropriate safeguards for cross-border transfers.
15. Links to other websites
The Services may link to third-party sites (such as our payment partner's checkout). We are not responsible for their privacy practices. Please read their policies before providing personal information to them.
16. Changes to this Policy
We may update this Policy from time to time. We will post the updated version on our website with a new "Last updated" date. For material changes affecting venue accounts, we may also notify you by email or through the dashboard. Continued use of the Services after changes take effect means you accept the updated Policy.
